Telemedicine workflow

Telemedicine with Invent Medical: A Practical Workflow for Licensed Medical Facilities

Resources from Invent Medical

Telemedicine is not only a video call. For a medical facility, it is a complete operational journey: the patient must discover the service, book with the right provider, receive confirmation, settle any applicable payment, attend the remote consultation, have the encounter documented correctly, receive follow-up information, and ensure that all records are handled according to the applicable rules.

Invent Medical provides the digital tools that can support this workflow. It can help a properly licensed medical facility organize the process around booking, communication, payment, scheduling, clinical documentation, tasks, files and follow-up inside the same operating environment.

Scenario: Clinic A is licensed and ready to provide telemedicine

Assume Clinic A has already completed its legal and regulatory work. It has the required licenses and approvals, its physicians are properly licensed, its internal policies are in place, and the clinic has confirmed that the telemedicine service it intends to offer is permitted. Clinic A now wants a practical technology workflow. Invent Medical can support the operation as follows.

1. Patient Discovery & Telemedicine Booking

The patient can begin from Clinic A’s official website, advertising campaign, Instagram profile or Invent Medical Social Media Link (SML).

The SML can act as a branded digital entry point for the clinic. It can be configured with the clinic’s identity, providers and booking options, allowing a patient to request or book the appropriate telemedicine service without needing a separate standalone booking platform.

If Clinic A already has a website, a supported Invent booking plug-in can connect the website booking journey to Invent Medical.

2. Reception Confirms the Remote Consultation

Once the request is received, reception can verify the patient, the provider, the requested service and the appointment date/time according to the clinic’s own telemedicine policy.

The appointment can be clearly marked as an online/telemedicine consultation. Clinics can also configure a dedicated schedule view for remote consultations, making it easy for reception and doctors to distinguish in-person visits from online appointments.

3. Payment Before the Session

Where online payment is activated, Clinic A can send the patient a secure payment link for the telemedicine consultation.

For example, if the consultation fee is BHD 10 or BHD 20, the patient can receive the link through a supported communication channel, pay using the available payment method, and the transaction can be reflected inside Invent Medical according to the configured payment workflow.

The clinic can then generate the appropriate invoice or receipt and share it digitally, including as a PDF through supported communication workflows. Payment availability, settlement, fees and third-party conditions depend on the clinic’s activated payment service and partner terms.

4. Make the Telemedicine Appointment Visible to the Doctor

The doctor can see the remote consultation in Invent Medical from the clinic workstation and, where enabled, from supported mobile or tablet access.

The clinic may simply tag the appointment as an online consultation, create a dedicated telemedicine schedule view, or use Invent Medical’s activity-management tool to assign a related task to the responsible doctor or consultant.

This gives the clinic flexibility to organize remote consultation slots according to its own approved operating model, including approved after-hours or weekend schedules where permitted by the clinic’s policies and applicable rules.

5. Conduct the Remote Consultation Using the Clinic’s Approved Communication Method

Invent Medical does not require the clinic to use one specific video or voice platform for the live consultation.

The medical facility remains responsible for selecting a communication method that is permitted by its regulator, privacy policies and internal procedures. This could be a separately approved video-conferencing, telephone or business communication service, depending on the clinic’s legal and operational requirements.

Invent Medical’s role is to support the surrounding workflow: appointment, patient record, payment, documentation, tasks and follow-up.

6. Document the Clinical Encounter Inside Invent Medical

The doctor can open the patient record and document the remote encounter using the same clinical environment available in Invent Medical, subject to the facility’s telemedicine documentation policy.

The clinician can use specialty-specific templates, notes, structured fields, diagnosis information, treatment planning and other enabled clinical tools. Where AI-assisted transcription is enabled, it can prepare a draft for clinician review; the clinician remains responsible for reviewing and approving what enters the medical record.

7. Store Permitted Supporting Files & Records

Invent Medical includes Documents & Images Management, which can organize patient-related files in predefined or customized folders, including a telemedicine folder where configured.

The facility may store permitted supporting documents or media only when such storage is lawful, clinically appropriate and allowed by the facility’s policies and regulator. The clinic is responsible for patient consent, retention periods, access rights and any special approval required for audio/video material.

In Bahrain, NHRA requirements generally exclude recording and storage of patient video consultations unless an exception has been granted. Recording is not a required part of the Invent Medical workflow.

8. Security, Access & Backup

Telemedicine records can contain highly sensitive health information. Invent Medical is designed to store patient information within the clinic’s controlled medical record environment using the security, access-control and backup measures applicable to the subscribed service and deployment.

Invent applies security, access-control and backup measures designed to protect clinical information. The clinic remains responsible for appropriate user access, device security, consent, retention and legal compliance. No technology provider can guarantee absolute security or zero data loss.

Storage capacity, retention and backup scope depend on the clinic’s contract, configuration and infrastructure.

9. Follow-Up After the Telemedicine Visit

After the consultation, the clinic can continue the patient journey through supported digital workflows.

The doctor or reception team may arrange the next appointment, create follow-up activities, send approved post-consultation information, share eligible documents, or refer the patient for an in-person visit when clinically required.

The central benefit is continuity: the remote consultation does not sit outside the clinic’s normal workflow. It can remain connected to the same patient record, scheduling, communication, payment and operational environment.

Why this matters for a licensed medical facility

  • The patient can discover, request and pay for the service digitally.
  • Reception can manage telemedicine appointments within the same scheduling environment used by the clinic.
  • Doctors can see remote consultations alongside their normal schedule on supported devices.
  • Clinical documentation remains connected to the patient’s medical record.
  • Permitted supporting documents can be organized within the patient record rather than scattered across unrelated systems.
  • Payment, invoices, follow-up and operational tasks can remain connected to the same workflow.
  • The clinic can use Invent Medical as the operational tool while retaining full responsibility for its legal, clinical and regulatory obligations.
